CONTEXT:

 

NSF Euro Consultants S.A. is a Belgian consultancy operating in the fields of food safety and quality management, in both the private and public sectors. The company was known as Euro Consultants for 25 years, until becoming part of NSF International (http://www.nsf.org) in 2016. Founded in 1944 and acting globally since 1990, NSF International is an independent public health and safety organization committed to protecting and improving human health and the environment on a global scale.

 

NSF EC has been awarded Project Technical assistance to improve implementation of food safety standards and disease crisis preparedness (EuropeAid/140337/DH/SER/CY) and is looking for a Project Assistant for its local project office in the Turkish Cypriot part of NicosiaThe duration of the project is until May 2027.

 

He/She will work under the overall guidance of the NSF EC Project Management and the daily instruction of the project’s Team Leader. 

 

 

RESPONSIBILITIES:

  • Daily administration and logistics/physical management of the project office
  • Organising the project documentation. Drafting/effecting project-related correspondence, communications and delivery
  • Interpreting informally and translating documents English/Turkish and vice versa
  • Providing administrative and logistics support to the project’s Experts and Project Management (visa arrangements, hotel, travel bookings, printing, copying, mailing, etc.)
  • Arranging the necessary office equipment and supplies and their periodical maintenance. Negotiating with suppliers (translation, interpretation, venues, transportation, lodging, catering)
  • Providing administrative and financial support to the project management. Maintaining office petty cash and preparing petty cash reports as applicable. Supporting the management of project incidental expenditures
  • VAT exemption processes - preparing VAT exemption documents, liaising with the relevant authorities
  • Logistical arrangements from A to Z for the project events (trainings, workshops, study visits, other)
  • Following up on the production/signature of timesheets
  • Assisting the Team Leader, Key Experts, and Non-key Experts in the daily execution of their tasks
  • Liaising with the project stakeholders
  • Accompanying the project team at meetings. Drafting meeting agendas, participants lists, and meeting minutes
  • Supporting the preparation of project reports and presentations - formatting, proofreading, other as needed 
  • Support the project team in the identification of non-key experts

REQUIREMENTS:

  • Office or event management experience
  • General project administration and project finance knowledge
  • Specific working experience on international/EU projects
  • Excellent organizational and time management skills
  • Numeracy, accuracy, attentiveness to detail
  • Networking skills, ability to interact with people from different nationalities and backgrounds
  • Collaborative spirit, team-work disposition
  • Can-do attitude
  • Tactfulness and trustworthiness
  • Analytical and critical thinking
  • Fluent oral communication and written expression in English and Turkish
  • Very good computer skills - user level
  • University degree
